Personal data processing at NCN since 25 May 2018 (GDPR)


Pursuant to Article 13(1) and (2) of the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation) (OJ. L 2016, No. 119, p. 1), we would like to inform you about the principles of processing personal data provided by you (information obligation):

  1. National Science Centre with its registered office in Krakow at ul. Twardowskiego 16, 30-312 Kraków („the Centre”) is the controller of your personal data.
  2. The Centre’s designated Data Protection Officer can be contacted via electronic mail at iod@ncn.gov.pl, by phone at +48 12 341 9113 or directly at the registered office of the data controller.
  3. The Centre processes personal data based on Article 6(1)(a), (b) or (c) of General Data Protection Regulation.
  4. Your personal data will be processed:
    1. in order to comply with legal obligations to which the Centre is subject (Article 6(1)(c) of General Data Protection Regulation),
    2. in order to perform contracts concluded with the Centre (Article 6(1)(b) of General Data Protection Regulation),
    3. based on your consent to the processing of your personal data in the scope and for the purposes specified in the consent (Article 6(1)(a) of General Data Protection Regulation).
  5. If the processing of your personal data is based on your consent, you provide the personal data voluntarily.
  6. If the processing of your personal data results from the generally applicable laws or a duly concluded contract, the provision of personal data is necessary to perform the obligations arising from such laws or contracts.
  7. If the processing of your personal data is based on your consent, you have the right to withdraw your consent at any time. Doing so does not affect the lawfulness of processing based on your consent prior to its withdrawal.
  8. Your personal data will be processed from the moment they have been collected as long as it is necessary to achieve the purposes indicated in point 4, and after this period also for the period and within the scope required by the generally applicable laws and for the period of storage as defined by the Centre’s records management procedures and the Uniform File Classification System.
  9. The recipients of your personal data may only be entities authorised to collect personal data based on the generally applicable laws.
  10. Your personal data may be transferred for processing to third party companies or individuals commissioned to provide services. Such third parties process data based on personal data transfer contracts, and are also obliged to keep the data being processed confidential.
  11. In connection with our processing of your personal data, you have the right to: access your personal data, correct your personal data, limit the processing of your personal data, and if it is possible under the General Data Protection Regulation, also to transfer them to another organisation, to object to us processing your data and to request that they should be erased.
  12. You have the right to lodge a complaint with the President of the Office of Personal Data Protection if the General Data Protection Regulation is violated.

 

In addition, pursuant to Article 13(1) and (2) of the General Data Protection Regulation, we would like to inform individuals applying for funding of a research project, scientific activity, fellowship or doctoral scholarship, that:

  1. National Science Centre with its registered office in Krakow at ul. Twardowskiego 16, 30-312 Kraków („the Centre”) is the controller of your personal data.
  2. The Centre’s designated Data Protection Officer can be contacted via electronic mail at iod@ncn.gov.pl, by phone at +48 12 341 9113 or directly at the registered office of the data controller.
  3. The Centre processes your personal data based on Article 6(1)(c) of General Data Protection Regulation, in conjunction with Article 20 of the Act of 30 April 2010 on the National Science Centre (consolidated text Journal of Laws of 2018, item 947).
  4. Your personal data will be processed for the purpose of:
    1. evaluation of the proposal for funding of a research project, scientific activity, fellowship or doctoral scholarship,
    2. supervision, financial and accounting operations, audits performed in the course of and after the completion of the project, scientific activity, fellowship or doctoral scholarship, evaluation of implementation and settlement of funding agreements – if funding is granted for the completion of a research project, scientific activity, fellowship or doctoral scholarship.

In addition, your personal data will be processed for the purpose of evaluating the Centre’s own tasks, reporting, dissemination of the information on the Centre’s calls for proposals throughout the scientific community, implementation of other activities regulated by the generally applicable laws and for archiving purposes.

  1. Your personal data will be processed from the moment they have been collected as long as it is necessary to achieve the purposes indicated in point 4 and to investigate possible related claims, for the period required by generally applicable laws and for the period of storage as defined by the Centre’s records management procedures and the Uniform File Classification System.
  2. Provision of personal data is a statutory requirement and without their disclosure the purposes described in point 4 cannot be achieved.
  3. The recipients of your personal data may only be entities authorised to collect personal data based on the generally applicable provisions of law and to the extent specified in Article 31 of the Act of 30 April 2010 on the National Science Center (consolidated text Journal of Laws of 2018, item 947), individuals using the Centre's website.
  4. Your personal data may be transferred for processing to third party companies or individuals commissioned to provide services. Such third parties process data based on personal data transfer contracts and are also obliged to keep the data being processed confidential.
  5. You have the right to access your personal data, correct your personal data and restrict the processing of your personal data.
  6. You have the right to lodge a complaint with the President of the Office of Personal Data Protection if the General Data Protection Regulation is violated.

In addition, pursuant to Article 13(1) and (2) of the General Data Protection Regulation, we would like to inform experts that:

  1. National Science Centre with its registered office in Kraków at ul. Twardowskiego 16, 30-312 Kraków, is the controller of your personal data.
  2. The Centre’s designated Data Protection Officer can be contacted via electronic mail at iod@ncn.gov.pl, by phone at +48 12 341 9113 or directly at the registered office of the data controller.
  3. The Centre processes your personal data based on Article 6(1)(c) of General Data Protection Regulation, in conjunction with Articles 20 and 22 of the Act of 30 April 2010 on the National Science Centre (consolidated text in Journal of Laws of 2019, item 1384).
  4. Your personal data will be processed for the purpose of:
    1. evaluation of proposals submitted in answer to calls for proposals and preparation of ranking lists on that basis,
    2. merit-based evaluation relating to settlements of the granted funds,
    3. other evaluation procedures related to the implementation of the Centre’s tasks,
    4. payment of remuneration for: evaluations made, participation in the meetings of Expert Teams, and reimbursement of travel expenses according to the Centre’s regulations, until the financial settlement of such activities.

In addition, your personal data will be processed for the purpose of evaluating the Centre’s own tasks, reporting, dissemination of the information on the Centre’s calls for proposals throughout the scientific community, implementation of other activities regulated by the generally applicable laws and for archiving purposes.

  1. Your personal data will be processed from the moment they have been collected as long as it is necessary to achieve the purposes indicated in point 4 and to investigate possible related claims, for the period required by generally applicable laws and for the period of storage as defined by the Centre’s records management procedures and the Uniform File Classification System,
  2. Provision of personal data by an expert is a statutory requirement and is necessary in order to achieve the purposes stated in point 4.
  3. The recipients of your personal data may be only entities authorised to collect personal data on the basis of generally applicable laws. In addition, your degree/academic title, first and last name, and the information about your employer will be included in a list of experts available to individuals using the Centre’s website.
  4. Your personal data may be transferred for processing to third party companies or individuals commissioned to provide services pursuant to personal data transfer contracts, in particular personal and property protection services, whereas such third parties are also obliged to keep the data confidential after the end of their legal relationship with the NCN. In the case of calls carried out as international cooperation, the institution(s) co-launching the call is(are) the Joint Controller(s) of your personal data.

  5. You have the right to access your personal data, correct your personal data and restrict the processing of your personal data. 
  6. You have the right to lodge a complaint with the President of the Office of Personal Data Protection if the General Data Protection Regulation is violated.
  7. Your data will be profiled and any data transfer to third countries will be subject to a separate consent (if applicable).

In addition, pursuant to Article 14(1) and (2) of the General Data Protection Regulation, we would like to inform members of the project team that:

  1. National Science Centre with its registered office in Kraków at ul. Twardowskiego 16, 30-312 Kraków, is the controller of personal data you provided to your employer, which were collected by the Centre during the reporting process.
  2. The Centre’s designated Data Protection Officer can be contacted via electronic mail at iod@ncn.gov.pl, by phone at +48 12 341 9113 or directly at the registered office of the controller.
  3. The Centre processes your personal data based on Article 6(1)(c) of General Data Protection Regulation in conjunction with Article 20 of the Act of 30 April 2010 on the National Science Centre (consolidated text Journal of Laws of 2018, item 947).
  4. Your personal data regarding your role, type, scope of work and remuneration in the project will be processed for the purpose of supervision, control, financial and accounting operations, audits performed in the course of and after the completion of the project or scientific activity, evaluation of implementation and settlement of funding agreements. In addition, your personal data will be processed for the purpose of evaluating the Centre’s own tasks, reporting, dissemination of the information on the Centre’s calls for proposals throughout the scientific community, implementation of other activities regulated by the generally applicable laws and for archiving purposes.
  5. Your personal data will be processed from the moment they have been collected as long as it is necessary to achieve the purposes indicated in point 4 and to investigate possible related claims, for the period required by generally applicable laws and for the period of storage as defined by the Centre’s records management procedures and the Uniform File Classification System,
  6. The recipients of your personal data may only be entities authorised to collect personal data on the basis of generally applicable laws.
  7. Your personal data may be transferred for processing to third party companies or individuals commissioned to provide services. Such third parties process data based on personal data transfer contracts and are also obliged to keep the data being processed confidential.
  8. You have the right to access your personal data, correct your personal data and restrict the processing of your personal data.
  9. You have the right to lodge a complaint with the President of the Office of Personal Data Protection if the General Data Protection Regulation is violated.

In addition, pursuant to Article 14(1) and (2) of the General Data Protection Regulation, we would like to inform persons participating in the preparation of project documentation that:

  1. National Science Centre with its registered office in Kraków at ul. Twardowskiego 16, 30-312 Kraków, is the controller of personal data you provided to your employer, which was collected by the Centre during the proposal or reporting process.
  2. The Centre’s designated Data Protection Officer can be contacted via electronic mail at iod@ncn.gov.pl, by phone at +48 12 341 9113 or directly at the registered office of the data controller.
  3. In order to fulfil its legal obligations, the Centre processes your personal data based on Article 6(1)(c) of General Data Protection Regulation, in conjunction with Article 20 of the Act of 30 April 2010 on the National Science Centre (consolidated text Journal of Laws of 2018, item 947).
  4. Your personal data, i.e. contact details will be processed for the purpose of evaluating the proposal for funding a research project, scientific activity, fellowship or doctoral scholarship, supervision, financial and accounting operations, audits performed in the course of and after the completion of the project, evaluation of its implementation and settlement of funding agreements. In addition, your personal data will be processed for the purpose of other activities regulated by the generally applicable laws and for archiving purposes.
