INSTRUCTIONS FOR PREPARING AND SUBMITTING PROPOSALS UNDER THE ETIUDA 7 CALL – FILLING OUT THE TABS IN THE ZSUN/OSF SYSTEM
All information required in the electronic form for proposal and annexes to the application for the funding of doctoral scholarship must be filled out in Polish.
Tab: PODMIOT [HOST INSTITUTION]
In the Status wnioskodawcy [Applicant legal status] section, the ZSUN/OSF system automatically selects the osoba fizyczna [natural person] status.
The applicant fills out all the remaining required fields. Use the Edytuj [Edit] button to open subsequent windows. At all times use the Zapisz [Save] button to save the text entered in the windows. All the required blanks must be filled out.
Applications for funding of doctoral scholarships may be submitted by persons without a doctorate degree, who can claim successful track record in research and who have embarked or will embark on a doctorate by 30 April 2019 at a Polish institution authorised to award doctoral degrees.
In the tab Podmiot [Host institution] enter only data of the host institution at which the applicant has embarked or will embark on a doctorate by 30 April 2019. It should be noted that the host institution may only be a Polish host institution authorised to confer doctoral degrees. A host institution may either be selected from the list of entities in the OPI database (choose “Wybierz z bazy OPI” [Select from the OPI database] button) or its data may be entered manually (“Dodaj spoza bazy” [Select from outside OPI] button).
The host institution’s data must be complete, consistent with the registered documents and correct: they must be verified and, if necessary, completed/modified.
If the host institution has been selected from the OPI database, the form will be filled out automatically, which does not release the applicant from the responsibility of verifying the correctness of the data.
PLEASE NOTE: Before importing any data from the OPI database make sure whether the data in the system are up to date. The applicant’s data must be complete and correct.
Should the data be out of date or incorrect, the proposal editor should contact the Ośrodek Przetwarzania Informacji Państwowy Instytut Badawczy (OPI PIB) by dialling: (+48) 22-351-71-01, (+48) 22-351-71-04, (+48) 22-351-70-89.
Once the Podmiot [Host institution] has been named, this section will split into two parts:
- Podmiot (poziom 1) Host institution (level 1)
- Podmiot (poziom 2) Host institution (level 2)
Podmiot (poziom 1) Host institution (level 1)
- Nazwa podmiotu [Entity name] (to be entered both in Polish and in English)
and adres siedziby [Address of the registered office]: (enter the entity’s full name and complete address of the registered office). - Siedmiocyfrowy identyfikator gminy: [7-digit Community Identification Code]: give the full code of the community where the host institution has its registered office. To find the code please click on Wykaz identyfikatorów in edit mode (the register is in compliance with the List of Identifiers and Names of the Units of Territorial Division of the Country by the Central Statistical Office). Find the relevant community and enter its 7-digit number in the form. The system will use the number to complete the name of the community.
- Dane teleadresowe [Contact data]: entering data for correspondence that are correct and up-to-date, i.e. phone number, email address, address of the Electronic Correspondence Register ESP (ePUAP), website etc., will allow for swift and effective communication. The data will be used for official correspondence in project-related matters. Please note that all proposal-related correspondence, including the funding decision will be sent to the ESP (ePUAP) address. Entering the ESP (ePUAP) address of the host institution is mandatory.
Should these data change in the course of the proposal’s evaluation or scholarship, the NCN must be notified thereof immediately.
- Status organizacyjny [Organisational status]: please select relevant code from a drop-down list.
- Question: Czy podmiot stanowi jednostkę zaliczaną do sektora finansów publicznych? [Does the institution belong to the public finances sector?] – please answer TAK [YES] or NIE [NO]. The answer will be incorporated into the text of the relevant statements.
- Enter data of the Kierownik podmiotu [Head of the host institution] using the Edytuj [Edit] button. In the case of an entity from the OPI database the only action to be taken in this section is to verify whether the imported data are correct and complete the required fields in English. If the host institution is from outside the OPI database, enter the data manually. All the required fields must be filled out.
- Enter NIP [tax identification number], REGON [statistical identification number] and KRS [court registered number] as appropriate. If the host institution is not registered in the National Court Register (KRS) please tick the nie dotyczy [not applicable] box on the right.
PLEASE NOTE: in proposals submitted under the ETIUDA 7 state aid is not an eligible cost.
PODMIOT (Poziom 2)/[HOST INSTITUTION (level 2) ]:
In the “Podmiot (poziom 2) [Host institution (level 2)]” section enter data for level 2 (if applicable).
Tab: INFORMACJE OGÓLNE [GENERAL INFORMATION]
PLEASE NOTE: The Edytuj [Edit] button in section B “informacje ogólne [general information] opens an edit window for the title of doctoral dissertation and the period of receiving doctoral scholarship.
Tytuł pracy doktorskiej [Title of the doctoral dissertation]: it is entered by using a text editor in the ZSUN/OSF system. The text may not be pasted, formatted (i.e. use of italics, underscore, lower and upper indexes, symbols is unavailable). The title of the doctoral dissertation as entered in the proposal must be identical with the title registered with the host institution. The title may be edited while carrying on with the proposal.
Pursuant to the regulations on awarding scholarships for doctoral candidates under the ETIUDA 7 call the period of receiving doctoral scholarship must be between 6 and 12 months.
Additionally, in this section the system will automatically import the start date of receiving the doctoral scholarship as: 1 October 2019 and the number of investigators as: 2.
Obszar badawczy [Research domain], to be followed by panel dyscyplin:[discipline panel], e.g. HS6, may be changed by using the Wybierz [select] button.
Pomocnicze określenia identyfikujące [Auxiliary review panels] (up to 3): click on the Dodaj [Add] button to choose from the list. First select the principal category, i.e. NZ, HS or ST, and carry on with selecting a lower level categories, e.g. HS6 followed by e.g. HS6_5 (Psychologia ewolucyjna i porównawcza, genetyka zachowania, psychofizjologia, neuropsychologia) [Evolutionary and comparative psychology, genetics of behaviour, psychophysiology, neuropsychology]. The categories may also be selected from outside the main discipline panel under which a given proposal is registered; one may even select categories from outside the thematic domain HS, e.g. NZ4_10 (Neuroobrazowanie) [Neuroimaging and computational neuroscience].
Okres pobierania stypendium doktorskiego (w miesiącach) [Doctoral scholarship duration (in months)]: select as appropriate from a drop-down list: 6,7,8,9,10,11,12.
Termin rozpoczęcia pobierania stypendium doktorskiego [doctoral scholarship start date]: this field will be filled out automatically.
Liczba wykonawców [Number of investigators]: it is the number of persons involved in writing a doctoral dissertation - the field will be automatically filled out with “2” (applicant and his/her doctoral advisor).
Planowane nakłady w zł [Estimated cost in PLN]: will be filled out automatically by the system based on the data in the Kosztorys [Breakdown of project costs] tab.
PLEASE NOTE: The Edytuj [edit] button in section B1 opens the edition window for entering information on the foreign research centre acting as the host institution of their planned fellowship at a research centre abroad.
B1. INFORMATION ON THE FOREIGN RESEARCH INSTITUTION HOSTING THE FOREIGN FELLOWSHIP PLANNED BY THE APPLICANT
To complete Dane zagranicznego ośrodka naukowego [Data of the research centre abroad] use the Edytuj [Edit] option. Enter the name and address of the foreign research institution
and, subsequently, select from a drop-down list the country of fellowship, and enter the name and surname of the mentor from the foreign research centre hosting the foreign fellowship.
Tab: KRÓTKI OPIS PROWADZONYCH BADAŃ [SHORT DESCRIPTION OF THE RESEARCH PERFORMED TO SUPPORT DOCTORAL DISSERTATION]
In this tab attach a file with a short description of research carried out as part of the doctoral dissertation. The description of the project must be written in Polish and may be no longer than 1 standard page (page format: A4; font size: 11-12; lead: single; margins left and right: 2 cm; margins up and down: 1.5 cm). The only acceptable file format is PDF.
The text in Polish must be attached as a PDF file by clicking the Załącz plik [Attach file] button.
Upon clicking on the Sprawdź kompletność [Check completeness] button, the system should signal that the 1-page limit has been exceeded.
Tab: POPULARNONAUKOWY OPIS BADAŃ [DESCRIPTION FOR THE GENERAL PUBLIC]
The description for the general public of the research carried out as part of the doctoral dissertation must be written in Polish The description may be no longer than 1 standard page (page format: A4; font size: 11-12; lead: single; margins left and right: 2 cm; margins up and down: 1.5 cm). Attach as a file by clicking the Załącz plik [Attach file] button. State the goal of the research, describe what kind of research will be carried out and state the reasons for tackling the research topic.
Upon clicking on the Sprawdź kompletność [Check completeness] button, the ZSUN/OSF system
should signal that the 1-page limit has been exceeded.
Description for the general public should contain only such data as the applicant would wish to publish on the NCN’s website in the event of receiving funding. By this means the NCN hopes to promote the knowledge about the research funded with public money among a wide audience.
Tab: UZASADNIENIE BADAŃ PODSTAWOWYCH [JUSTIFICATION – BASIC RESEARCH]
Filling out of this tab is optional.
The applicant may explain why the research carried out as part of his/her doctoral dissertation meets the criteria of basic research.
Information entered in this tab may help the Expert Team solve possible doubts as to the nature of the planned research. The text must be written in Polish in an editor. Use up to 2,500 characters incl. spaces.
Tab: WNIOSKODAWCA/PROMOTOR [APPLICANT / RESEARCH SUPERVISOR]
The scientific achievements section is to be filled out by the Applicant.
Applicant / Research Supervisor
Applicant
Enter the applicant’s data using the Wybierz z bazy OPI [Select from the OPI database] button or Spoza bazy [Select from outside OPI] button.
Person from the OPI database: search for them using their PESEL number which serves as ID in the Polish Science database. If necessary, update the information on the person in the database.
PLEASE NOTE: the applicant’s (scholarship recipient’s) data must be filled out in a chronological order, paying special attention to the correctness of the data imported from the OPI database. In the event of finding the data imported from the OPI database to be incorrect or out of date, inform the Polish Science database thereof. Of special importance here are the data concerning: academic degree and title, given names, surnames, PESEL number as well as places of work, since these data may not be edited in the ZSUN/OSF system. Modification of the data may require importing them anew and removing the contents of all the sections in the research achievements section.
PLEASE NOTE: The NCN is not responsible for updating the data. In the event of finding the data in the OPI database to be incorrect or out of date contact the OPI database directly by dialling: (+48) 22-351-71-01, (+48) 22-351-71-04, (+48) 22-351-70-89.
Osoby spoza bazy [Persons not in the database]: select this option if a given person is not in the OPI database. In the form enter all data required by the system (given names, surname(s), academic title/degree, phone number, email address, ePUAP address, PESEL number etc.). Please note that should an ePUAP address be entered, all proposal-related correspondence will be sent to the ePUAP address. Entering the ePUAP address is optional; should no ePUAP address be entered, correspondence will be sent to the email address.
Data entered/modified in edit mode:
- Planowany charakter udziału w realizacji projektu [Nature of contribution in the project]: filled out automatically by the system.
- Podmiot [Host institution]: here the system automatically applies the data entered in the tab: Podmiot [Host institution] tab.
- Dane osobowe [Personal data]: to be filled out upon clicking on the Edytuj [Edit] button. The PESEL number is no longer required once the option “obcokrajowiec” [foreign citizen] has been ticked. Telephone number and email address should be up to date. Entering the ePUAP address is not mandatory.
In the window for editing the applicant’s personal data answer additional questions:
- Have you embarked on a doctorate?
Answer: TAK [YES] or NIE [NO]
If answered in the affirmative, in the ZAŁĄCZNIKI [ANNEXES] tab a field Potwierdzenie otwarcia przewodu doktorskiego wnioskodawcy [Confirmation of embarking on a doctorate by the applicant] will be generated. Attach a scan of the document that the applicant has embarked on a doctorate (use the Załącz plik [Attach file] button).
In the OŚWIADCZENIA [DECLARATIONS] tab, in point 1 the following sentence will appear: Oświadczam, że mój przewód doktorski został otwarty dnia??? w (System automatycznie wstawia nazwę Podmiotu). [I hereby declare that I embarked on a doctorate on??? in (the system will automatically enter the name of the host institution)]. Enter the date from the attached document by clicking on the active link of the day.
If answered in the negative, the following text will be generated in the OŚWIADCZENIA [DECLARATIONS] tab: Oświadczam, że planuję otwarcie przewodu doktorskiego do dnia 30 kwietnia 2019 r. [I hereby declare that I am Planning to embark on on a doctorate by 30 April 2019] In the case of persons who have declared to embark on a doctorate by 30 April 2019, doctoral scholarship may be awarded on condition that the applicant presents a confirmation of embarking on a doctorate by 15 May 2019.
Once the changes have been saved in the Dane osobowe [Personal data] window, the following questions will appear:
- Does the applicant hold doctoral degree?
Answer: TAK [YES] or NIE [NO]
PLEASE NOTE: pursuant to the terms of the call, the Applicant may not be holder of a doctorate:
- Are you a doctoral programme?
Answer: TAK [YES] or NIE [NO]
If the applicant has answered in the negative, they must answer the following question:
- Are you an academic teacher?
Answer: TAK [YES] or NIE [NO]
- Dane adresowe [Contact data]: to be filled out upon clicking on the Edytuj [Edit] button. Enter the residence address and address for correspondence if it differs from the residence address. Please note that should an ePUAP address be entered, all proposal-related correspondence will be sent to the ePUAP address. Entering the ePUAP address is optional; should no ePUAP address be entered, correspondence will be sent to the email address.
- Miejsca pracy w jednostkach naukowych i innych instytucjach związanych z nauką oraz zajmowane stanowiska: [Affiliation and positions occupied at research-related institutions]: if the applicant’s data have been imported using the Dodaj z bazy OPI [Select from the OPI database] button, this field is filled out automatically with the data from the Polish Science database.
The applicant may also enter the above data manually; if such be the case, all applicant’s data must be entered by using the Dodaj spoza bazy [Select from outside OPI] or choose Bez miejsca pracy [No fixed post].
- Informacje o całkowitej liczbie cytowań oraz indeksie H [The total number of citations and the h-index value]:
Upon entering the data enter the total number of citations for all publications to date, without self-citations, and the h-index value. In the case of no citations, enter “0” as the number of citations and “0” as the h-index value. One may also select the option N/A, but only in the case when such data may not be provided (e.g. when the achievement is not a publication but a work of art, for instance, etc.). If publications have been listed as scientific achievements, the preferred source of evaluation is Web of Science™ Core Collection or Scopus. Should other database than the preferred one be chosen, select option “other” and enter the name of the database with “source name.”
- Szczegółowa ankieta dorobku naukowego [Scientific achievements section]: please complete the form as required by the system.
PLEASE NOTE: in this section the applicant presents his/her complete research achievements, which will be evaluated. The data may be entered only in the form, using an editor opened with the Edytuj [Edit] button. The scientific achievement section may not be attached as a PDF file.
The Przebieg kariery naukowej [Academic and research career] tab: the applicant enters names of the university, institute or other organisational unit, specialisation, date of receiving his/her scientific degree/title. Doctoral candidates specify the mode of their doctoral studies (3rd degree enrolled student, unenrolled student etc.).
The Dorobek naukowy [Scientific achievements] section: the applicant lists all publications, including publications in renowned journals and scientific press. Enter the following: name of the author(s), title of the publication, title of the journal (volume/pages), publisher and year, current 5-year impact factor of the journals and number of citations for individual publications, total number of citations of all publications to date, without self-citations –required source – Web of Science TM Core Collection or Scopus). Additionally, indicate whether a given work has been published or approved for publication.
Titles of publications should be given in their original languages. If a work has not been published in English, enter its original title, followed by the title’s translation into English in square brackets.
One may name works yet to be published on condition that they have already been accepted for publication. If this is the case, in the ZAŁĄCZNIKI [ANNEXES] tab attach letters from publishers proving that the work has been. Acceptable confirmation can be provided in the form of emails from the publisher proving that the work has been accepted for publishing.
Should one be unable to provide the above data, tick the Nie dotyczy [Non-applicable] option.
In the case of research in art: music, fine arts, film: A list of the most important artistic achievements and achievements in the research in art with nationwide or international impact, e.g. authoring and publishing a work of art (a musical score, a record), directing a film, a play, an opera, playing a lead role, authoring an individual exhibition, actively participating in a festival with national or international impact, directing an international artistic venture.
The Projekty badawcze [Research projects] tab: here the applicant describes his/her participation in research projects and their results. Enter the following: nature of contribution in the project (e.g. principal investigator, co-investigator), title and number of the project, sources and amount of funding, currency code, host institution, years of implementation and a list of the most important publications resulting from each project separately.
Should one be unable to provide the above data, tick the Nie dotyczy [Non-applicable] option.
The Doświadczenie naukowe [Research experience] tab should contain a description of the applicant’s research experience accumulated in Poland and abroad, including presentations at conferences at home and abroad. State the country, name of the institution, type/nature of stay and period of stay.
The Stypendia i nagrody [Scholarships and awards] tab should contain information on scholarships and awards the applicant has received in support of their research or their doctoral dissertation (doctoral scholarship conferred by the alma mater; scholarships of the Ministry of Science and Higher Education for the best doctoral candidates etc.).
The Wyróżnienia [Prizes/Awards] should include information on the most important international and Polish awards resulting from the conducted research. Enter the type, place and date of the prize/award. In this section one may also enter information on other research activities (such as keynote speeches at conferences) and in the case of arts, active participation in international exhibitions, festivals, artistic events and projects in fine arts, music, theatre and film etc. Use up to 1,500 characters incl. spaces.
Should one be unable to fill out any part of the section (e.g. the applicant has no awards), please tick the nie dotyczy “not applicable” as appropriate. One should, however, bear in mind that the ETIUDA 7 call is addressed to persons who can claim past success in research activity.
PLEASE NOTE: information other than the information required in the form will be disregarded in evaluation. In the evaluation of research achievement unpublished works unsupported with letters from the publisher confirming their acceptance for publication will be disregarded.
Research supervisor
To enter the research supervisor’s data, use the Wybierz z bazy OPI [Select from the OPI database] button or Spoza bazy [Select from outside OPI] button. Only the research supervisor or auxiliary supervisor may be named in the proposal. Persons from the OPI database: search for them by using their PESEL number which serves as ID in the Polish Science database.
All personal and contact data may be edited using the Edytuj [Edit] button. Information on work at research institutions are imported from the Polish Science database and - save for the name in English - are disabled for editing.
The applicant may also enter the above data manually. To do so, click on the Dodaj spoza bazy [Select from outside the database] button. If the research supervisor holds no permanent post, select Bez miejsca pracy [No fixed post].
Tab: FORMY FINANSOWANIA [FORMS OF FUNDING]
Stypendium doktorskie [Doctoral scholarship] - the period of receiving the scholarship (in months) and the intended start date of receiving the scholarship are filled out by the system automatically, based on the data entered in the Informacje ogólne [general information] section.
Staż w zagranicznym ośrodku naukowym [Fellowship at a research centre abroad] - the applicant should specify the period of their stay at a foreign research institution (in months) and the shortest distance between their place of residence on the day of submitting the proposal and the research centre hosting the foreign fellowship. Use the Edytuj [Edit] button to complete these data.
PLEASE NOTE: fellowship at a foreign research institution should be no shorter than 3 and no longer than 6 months.
Tab: KOSZTORYS [BREAKDOWN OF PROJECT COSTS]
Editing in this section is disabled, because the terms of the ETIUDA 7 call provide for strictly definite amounts, which serve as bases for the calculation of three eligible forms of doctoral scholarship payment, i.e.:
- resources for the scholarship - the applicant receives a monthly scholarship of PLN 4,500. Pursuant to the terms of the call it is awarded for the period of preparing by the applicant their doctoral dissertation, no shorter than 6 and no longer than 12 months,
- funds for covering the expenditure related to the applicant’s stay at a foreign research centre - awarded as a monthly flat-rate sum of PLN 12,000 multiplied by a percentage correction factor specified for a given country, in accordance with the values listed in the tables that constitute Annex 1 to Resolution No 109/2018 by the NCN Council of 8 November 2018
- funds for covering the expenditure of a return travel to the centre named in the proposal as the host institution of the fellowship, as a monthly flat-rate sum of PLN 1,000 to 10,000 – depending on the distance between the place of residence and the foreign research centre – in accordance with the values listed in annex 2 to Resolution No 109/2018 by the NCN Council of 8 November 2018.
The breakdown of project costs defines the total amount of funding the applicant may receive under the ETIUDA 7 call. This tab is filled out automatically based on the information entered in the following sections: Informacje ogólne [General information] (period of receiving scholarship, country of the institution named as the host institution of the fellowship) and Formy finansowania [Forms of funding] (duration of the fellowship, distance between the place of residence and the research centre abroad).
Tab: OŚWIADCZENIA [DECLARATIONS]
OŚWIADCZENIA WNIOSKODAWCY [DECLARATIONS BY THE APPLICANT]
Before filling out this section the following sections must by completed: Wnioskodawca [Applicant] and Informacje ogólne [General information].
Confirmations related to embarking on a doctorate will be generated automatically based on the information entered in the tab Wnioskodawca/Promotor [Applicant / Research supervisor].
An applicant who on the day of submitting the proposal has not embarked on a doctorate declares in the Oświadczenia [Declarations] section that he/she will embark on a doctorate by 30 April 2019. An applicant who has embarked on a doctorate enters the date of embarking on a doctorate.
Both the applicants who on the day of submitting the proposal have embarked on a doctorate and the applicants who undertake to embark on a doctorate by 30 April 2019 declare that they will receive their doctorate within 12 months of the end date of receiving the scholarship. The ZSUN/OSF system calculates the date automatically based on the period of receiving scholarship.
PLEASE NOTE:
- If the winner receives the scholarship from 1 October 2019 to 30 September 2020, he/she should be conferred a doctorate by 30 September 2021 at the latest.
- If the winner receives the scholarship from 1 October 2019 and is awarded the doctorate before 1 April 2020, the funding agreement will be terminated and the National Science Centre will request that the funding be returned.
In point 4 of the declarations, the applicant declares that costs related to the applicant’s stay at a foreign research institution and the travel costs to the foreign research institution intended as a host institution of a foreign fellowship under the call have not been financed by the NCN nor by any other source.
OŚWIADCZENIA OSOBY UPOWAŻNIONEJ DO REPREZENTOWANIA PODMIOTU, W KTÓRYM WNIOSKODAWCA MA OTWARTY LUB OTWORZY DO 30 KWIETNIA 2019 R. PRZEWÓD DOKTORSKI [DECLARATIONS BY THE AUTHORISED REPRESENTATIVE OF THE HOST INSTITUTION AT WHICH THE APPLICANT HAS EMBARKED ON A DOCTORATE OR WILL EMBARK ON A DOCTORATE BY 30 APRIL 2019]
The applicants may submit proposals under the ETIUDA 7 call once they have secured declarations by the head of the host entity at which the applicant has embarked on a doctorate or at which they intend to embark on a doctorate.
In the declarations the authorised representative of the host entity declares that, inter alia, costs related to the applicant’s stay at a research centre abroad and the travel costs to the research centre abroad hosting a foreign fellowship under the call have not been financed by the NCN nor by any other source.
Tab: OPIS BADAŃ NAUKOWYCH [DESCRIPTION OF RESEARCH]
In this tab provide a description of the research carried out as part of the doctoral dissertation (up to 10 standard pages in Polish).
Description of the research carried out as part of the doctoral dissertation should be written in a separate file, which should be then attached to the proposal by using the Załącz plik [Attach file] button.
The description of the project must be written in Polish and may be no longer than 10 standard pages (page format: A4; font size: 11-12; lead: single; margins left and right: 2 cm; margins up and down: 1.5 cm). The only acceptable file format is PDF. The description must include the following information: research objective, significance of the project, work plan of the research, research methodology and literature.
- Cel naukowy prowadzonych badań [Research objective] – state the research problem to be solved by the applicant in his/her doctoral dissertation, research questions or hypotheses.
- Znaczenie projektu [Significance of the research]: state of the art, justification for tackling specific scientific problems by the proposed project, the impact of the project results on the development of the research field and scientific discipline.
3. Koncepcja i plan badań [work concept and plan]: outline of the work plan, specific research goals, results of preliminary research, risk analysis.
- Metodyka badań [Research methodology]: underlying scientific methodology, methods, techniques and research tools, methods of results analysis, equipment and devices to be used in the research.
- Literatura [References]: a reference list of publications included by the author in the research project description, with full bibliographic data.
PLEASE NOTE: before writing the description read the guidelines on the contents required in each tab.
Tab: CHARAKTERYSTYKA ZAGRANICZNEGO OŚRODKA NAUKOWEGO [PROFILE OF THE FOREIGN RESEARCH INSTITUTION]
The profile of the research centre abroad acting as host institution for the applicant should be written in a separate file in Polish. Up to 2 standard pages (page format: A4; font size: 11-12; lead: single; margins left and right: 2 cm; margins up and down: 1.5 cm). The only acceptable file format is PDF. Attach the file using the Załącz plik [Attach file] button.
The description must include the following information:
- justification for choosing the research centre with regard to its reputation, available equipment or the nature of its research achievements,
- nature of the conducted research,
- conformity of the research with the research carried out as part of the doctoral dissertation,
- research / tasks planned to be carried out during the fellowship,
- prospect of using the knowledge and skills gained during the fellowship in the applicant’s future career.
Tab: ZAŁĄCZNIKI [ANNEXES]
In this tab, the system displays a list of annexes to be uploaded in the electronic version of the proposal in the ZSUN/OSF system. Adding attachments before locking the proposal is optional. After the proposal to NCN has been locked, one may change the previously uploaded annexes, add missing ones or upload all annexes. The submission of a proposal to the NCN requires attaching a complete set of confirmations and annexes.
The list of annexes depends on the type of proposal. For the ETIUDA 7 call these are:
Annex 1 - Confirmation of the applicant embarking on a doctorate - applies to applicants who have embarked on a doctorate.
Annex 2 - Document in English confirming approval on the part of the research supervisor at the research centre abroad acting as the host institution of the applicant’s fellowship abroad.
The document should contain the following: date of drafting the document, name of the research centre accepting the applicant as a foreign fellow, name and surname of the research supervisor, name and surname of the scholarship recipient, duration of the fellowship as planned (in months), research facilities offered by the research centre abroad (optional information), signature of the applicant’s research supervisor or the authorised representative of the research centre abroad.
PELASE NOTE: the foreign entity must be a research centre (i.e. it may not be a commercial laboratory, film studio or visual arts studio). The centre’s research facilities, feasibility of implementing the fellowship at the research centre of the applicant’s choice and the pertinence of the choice will be evaluated by experts, based on the attached confirmation.
Annex 3 Acceptance letters from publishers confirming that the work has been accepted for publication. Applies to persons who named works accepted for publication in the scientific achievements section.
Confirmations of submitting a proposal under the ETIUDA 7 call can be generated and attached once editing of the version for the NCN has been disabled. The proposal submitted in the ZSUN/OSF system should be supported with two confirmations: one signed by the applicant, the other signed by the authorised representative of the host institution at which the applicant has embarked on a doctorate or will embark on a doctorate by 30 April 2019.
Note: If the applicant has not embarked on a doctorate, he/she is only required to provide Annexes 2 and 3, including the confirmations.
There are two ways of attaching the required annexes:
- scan of the document signed in the signatory’s own hand,
- electronically signed file.
Either option is effected by clicking on the Załącz plik [Attach file] button and adding the document as appropriate. In the location Plik podpisany elektronicznie [Electronically signed file] it is possible to add files in the .PAdES format only.
Proposals must be complete. Completeness may be checked in the system using the Sprawdź kompletność [Check completeness] and Pokaż szczegóły [Show details] buttons. The system will not proceed with proposals where the required fields remain uncompleted or obligatory annexes are missing. The validation of the proposal for completeness carried out by the system does not release the applicant from responsibility for the information entered in the tabs.
Tab: ELEKTRONICZNA WYSYŁKA WNIOSKU [ELECTRONIC SUBMISSION OF THE PROPOSAL]
Once the individual tabs of the proposal have been filled out and the proposal validated for completeness, editing of the proposal should be disabled by clicking on Zablokuj wersję wniosku do NCN [Disable editing of the version for the NCN] . When done, on the left hand side of the proposal a tab will appear: Elektroniczna wysyłka wniosku [Electronic Submission of the Proposal].
Upon clicking the tab Elektroniczna wysyłka wniosku [Electronic submission of the proposal] a system message will be displayed stating that the final version of the proposal has been prepared (it can no longer be edited) and is ready to be sent in electronic form to the National Science Centre. It has not been marked as “ready” yet, and thus it is not available to officers at the NCN. At this point, the editor may still enable editing of the proposal (by clicking on the Powrót do edycji [Return to edit] button and introduce corrections.
In this section one should generate confirmations of submitting the proposal and one may add or change the required annexes (options: zmień plik [change file] or usuń plik [delete file] as well as do checks on the attached documents, by clicking on pokaż plik [display file]). If the required annexes have not been attached earlier add them in this section.
Personalized “Confirmations” may be downloaded from the system and attached to the proposal as signed scans or documents bearing an electronic signature.
The proposal submitted in the ZSUN/OSF system should be supported with two confirmations: one signed by the applicant, the other signed by the authorised representative of the host institution at which the applicant has embarked on a doctorate or will embark on a doctorate by 30 April 2019.
PLEASE NOTE: the confirmation must refer to the FINAL version of the proposal.
There are two ways of attaching the required confirmations: one may attach a scan of the document signed in their own hand or a file signed with a qualified electronic signature.
Sending the proposal to the NCN
Once the proposal has been filled out and supported with the required annexes, its electronic version should be sent to the National Science Centre using the “Wyślij do NCN” [Send to the NCN] button. When the procedure has been completed the proposal’s status in its heading will change to “wysłany” [“sent”].
Please note: once this operation has been completed, entering modifications to the contents of the proposal will no longer be possible.
Original copies of the confirmations of submitting the proposal should be archived over a period of 5 years counted from the date of the call’s conclusion, and should the project be approved for funding - over a period of 5 years counted from the project’s conclusion; they should be made available to the NCN when requested.
PLEASE NOTE: no paper version of the proposal should be sent in to the National Science Centre. The proposal is deemed as effectively submitted only when submitted in the electronic form.
The NCN receives the following version of the proposal: PDF file with the proposal submitted to the NCN.
